AI Voice Agent Glossary
Key terms and definitions for AI voice agents, lead conversion, and sales automation
Speed to Lead
Speed to lead is the time elapsed between a prospect submitting an inquiry and the first response from the business. Leads called within 60 seconds converted 391% above average (Velocify, formerly Leads360). This is an industry benchmark, not a Novacall AI customer result.
AI Voice Agent
An AI voice agent is an artificial intelligence system that conducts natural phone conversations with humans. Unlike IVR phone trees that follow rigid menus, AI voice agents use large language models to understand context, respond naturally, handle objections, and complete tasks like lead qualification and appointment booking. They operate 24/7 without human intervention.
Lead Response Time
Lead response time measures how quickly a business contacts an inbound lead after they express interest. In a 2011 Harvard Business Review study, companies that tried to contact a lead within an hour were nearly seven times as likely to qualify it as companies that waited longer. Novacall AI responds to inbound leads in under 60 seconds.
Lead Conversion Rate
Lead conversion rate is the share of leads that become paying customers: the number of customers divided by the number of leads. Measure it on your own records, by lead source, so a change in response time can be compared with the same baseline.
Cost Per Acquisition (CPA)
Cost per acquisition (CPA) is the total cost of winning one customer: total marketing spend divided by the number of new customers. Converting more of the leads you already pay for lowers CPA without raising the budget.
Multi-Channel Follow-Up
Multi-channel follow-up is the practice of contacting leads across multiple communication channels — voice calls, SMS, email, and WhatsApp — in a coordinated sequence. Different leads prefer different channels. Offering more than one channel gives each lead a way to reply that suits them, and keeping every channel on one conversation thread means nothing is asked twice.
Conversational AI
Conversational AI refers to artificial intelligence technologies that enable machines to understand, process, and respond to human language naturally. This includes chatbots, voice assistants, and AI voice agents. Modern conversational AI uses large language models (LLMs) to handle complex, context-dependent conversations rather than following scripted decision trees.
TCPA Compliance
The Telephone Consumer Protection Act (TCPA) is a US federal law that regulates telemarketing calls, prerecorded and artificial-voice calls, and text messages, and it requires consent for many of them. Novacall AI supports TCPA, A2P 10DLC and Do Not Call requirements and honors opt-outs. This is general information, not legal advice; see the FCC consumer guide at fcc.gov.
HIPAA Compliance (for AI Voice)
HIPAA (the Health Insurance Portability and Accountability Act) sets rules for protecting patients’ health information. For AI that talks with patients, that means safeguards such as encryption in transit and at rest, access controls with audit logs, and collecting only the health information the conversation needs. Ask any vendor that handles PHI on your behalf about a business associate agreement. Novacall AI is SOC 2 and HIPAA compliant.
White Label AI Voice Agent
A white-label AI voice agent is a platform that agencies and service providers can rebrand and resell under their own company name. The end customer sees the agency's branding, not the underlying technology provider. This allows marketing agencies, call centers, and BPOs to offer AI voice services without building the technology themselves.
ROI (Return on Investment)
ROI measures the profitability of an investment, calculated as (net profit / cost of investment) × 100. For AI voice agents, ROI is calculated by comparing the additional revenue from increased conversions against the cost of the AI platform. Estimate it from your own numbers (leads per month, how many you reach and book today, and the value of a booked job) rather than from a vendor’s average.
AI Lead Response
AI lead response is software that replies to every new inbound lead within seconds of it arriving, by voice, text, email or chat, asks the business’s own qualifying questions, books the next step on its calendar and records the conversation in its CRM, 24 hours a day. Novacall AI replies in under 60 seconds.
First Response Time
First response time is the time from a lead’s inquiry to the business’s first reply on any channel. Report it as a median by lead source and by hour of day, not as one average, because a few leads left over a weekend can hide how quickly the rest were answered.
Lead Response SLA
A lead response SLA (service-level agreement) is an internal target for how quickly every new lead must get a first reply, for example within five minutes during business hours, together with who owns the reply and how misses are reported. It turns speed to lead from a hope into a measured standard.
Speed-to-Lead Benchmark
A speed-to-lead benchmark is a published figure on how response time relates to reaching, qualifying or converting leads, such as the Leads360, Harvard Business Review and InsideSales.com and MIT studies. Benchmarks show the direction across many companies; they are not a forecast for any one business.
Lead Leakage
Lead leakage is the loss of leads between arriving and being worked: forms nobody reads, ad leads left in an ad platform, chats with no reply, voicemails never returned and quotes never followed up. It is measured by comparing leads received with leads that got a first reply.
Missed-Call Text-Back
Missed-call text-back is a text message sent to a caller whose call was not answered, inviting them to continue the conversation by text. It keeps the caller from moving on to the next business, but on its own it is one message, not a conversation that qualifies and books.
Web-to-Lead
Web-to-lead is the path from a form on a business’s website to a lead record in its CRM. A complete path carries every form field, the page the form was on and the consent the person gave, so the first reply can refer to what they asked for.
Lead Source
A lead source is where a new lead first came from: a website form, a lead ad on Facebook, Instagram or Google, a website chat, a Google Business Profile chat, a phone call, an email or a referral. Each source delivers leads to a different place, which decides how fast they are seen.
Lead Ad Form
A lead ad form is a form inside an ad that collects a person’s details without sending them to a website, such as Meta’s lead ad forms on Facebook and Instagram and Google Ads lead form assets. Because asking takes a few taps, these leads forget quickly and need a fast first reply.
Marketplace Lead
A marketplace lead is an inquiry received through a third-party lead marketplace or directory rather than the business’s own website or ads. Such leads are sometimes sent to several competing businesses at once, so the speed and quality of the first reply decide who gets the conversation.
Lead Source Attribution
Lead source attribution is recording which source each lead came from and carrying it through to the booking and the sale. It lets a business compare marketing spend by the appointments and revenue each source produces, not just by the number of leads it sends.
Lead Routing
Lead routing is the set of rules that decides which person, team or location receives each new lead, for example the office nearest the customer or the team member on duty. Good rules mean every lead has an owner, and none waits in a shared inbox.
Round-Robin Assignment
Round-robin assignment hands new leads to a group of people in turn, so each gets an even share. It is simple and fair, but it only works when the person whose turn it is can reply quickly; a lead assigned to someone on a job still waits.
Lead Qualification
Lead qualification is deciding whether a new lead is a fit before an appointment is booked, using the business’s own questions: the service needed, the location, the timing, the urgency and anything that rules the lead out. AI lead response asks these questions in the first conversation.
BANT (Budget, Authority, Need, Timeline)
BANT is a classic sales qualification framework: budget, authority, need and timeline. For local services it usually becomes four plain questions: do we offer this service in your area, who decides, how urgent is it, and when do you want it done.
Legal Intake
Legal intake is how a law firm turns an inquiry into a prospective client: collecting the facts, the practice area and any urgent dates, running a conflict check and booking a consultation. Intake gathers facts; legal advice stays with the firm’s attorneys.
Human Handoff
A human handoff is the point where AI passes a conversation to a person, with everything said so far attached. The business’s rules decide what is handed off, such as unusual, sensitive or high-value requests and any legal, medical or financial question, and who receives it.
CRM Write-Back
CRM write-back is writing the result of a conversation into the lead’s CRM record: the transcript or summary, the answers to qualifying questions, the booking and the next step. With it, the record is complete without anyone retyping it, and follow-up starts with full context.
Appointment No-Show
An appointment no-show is a booking the customer neither attends nor cancels, leaving a slot that could have gone to someone else. Clear confirmations on the customer’s own channel and an easy way to reschedule at any hour are the usual first fixes.

After-Hours Lead Response
After-hours lead response is replying to leads that arrive in the evening, at weekends and on holidays as fast as during the day, instead of on the next business day. It matters because after-hours leads wait longest, often a whole weekend, before anyone sees them.
Multilingual Lead Response
Multilingual lead response is replying to, qualifying and booking a lead in the language they wrote or spoke in, while the business’s team reads the summary in its own language. It removes the wait for the one bilingual person on the team.
Lead Reactivation
Lead reactivation is following up with a business’s own past inquiries who never booked and who agreed to be contacted, to see whether they still need help. It excludes purchased lists and anyone who opted out, and every reply is treated as a new lead.
Express Written Consent (TCPA)
Express written consent is the signed agreement, electronic signatures included, that the TCPA requires before telemarketing calls or texts made with an automatic telephone dialing system or an artificial or prerecorded voice. It must clearly authorize the business to contact that number and cannot be a condition of purchase. General information, not legal advice.
A2P 10DLC
A2P 10DLC (application-to-person messaging over 10-digit long codes) is the US carrier system for business texting from ordinary 10-digit numbers. Businesses register their brand and each messaging campaign through The Campaign Registry; unregistered traffic can be filtered or blocked. Novacall AI supports A2P 10DLC requirements.
Do Not Call (DNC) List
The National Do Not Call Registry, run by the FTC, lists numbers whose owners do not want telemarketing calls. Businesses must also keep their own internal do-not-call list of people who asked not to be contacted, and honor both. Novacall AI supports Do Not Call requirements. General information, not legal advice.
Quiet Hours
Quiet hours are times when marketing calls and texts should not go out. Federal TCPA rules bar telephone solicitations before 8 a.m. or after 9 p.m. in the recipient’s local time, and some states set narrower windows or limit certain days. General information, not legal advice.
Opt-Out Keywords (STOP)
Opt-out keywords are replies such as STOP, QUIT, END, REVOKE, OPT OUT, CANCEL or UNSUBSCRIBE that withdraw consent to texts. FCC rules treat such replies as a reasonable way to revoke consent, so they must be honored. Novacall AI honors opt-outs. General information, not legal advice.
Call Recording Consent
Call recording consent is the permission needed to record a phone call. Federal law requires the consent of one party, but some states, such as California and Florida, require every party’s consent, so a clear recording announcement at the start of the call is the safe default. General information, not legal advice.
SOC 2
SOC 2 is an attestation report in which an independent CPA firm examines a service organization’s controls against the AICPA Trust Services Criteria: security, availability, processing integrity, confidentiality and privacy. Novacall AI is SOC 2 and HIPAA compliant.
Business Associate Agreement (BAA)
A business associate agreement is the contract HIPAA requires between a covered entity, such as a medical or dental practice, and a vendor that creates, receives, keeps or transmits protected health information on its behalf. It sets out how the vendor must safeguard and use that information.
Protected Health Information (PHI)
Protected health information is individually identifiable health information held or transmitted by a HIPAA covered entity or its business associate, in any form. A patient’s name together with a symptom, a treatment or an appointment at a medical or dental practice is PHI.
